Keep and hand over work in Claude Team or Enterprise
For a Claude Team export, check your role and agree on where the conversations and files your colleague needs will be stored.
For a Claude Team export, the Primary Owner can download organization data. Members can export their own chats once an Owner or Primary Owner enables it. The same roles apply to Enterprise. Follow your company’s policy on copies you may keep or hand over.
Agree on the handoff before downloading
Agree with your manager or project owner on the material, storage location, and recipients. Anthropic says organizations control available features and may set usage policies.
Use an approved company folder. Permission to use a work account doesn’t automatically permit copies on a personal device or drive.
If downloads or extensions aren’t allowed, ask for an approved handoff method. The same rule applies to copied text.
Use the organization export for organization records
As of November 2026, only the Primary Owner can request organization data exports on Team and Enterprise. Admin and Owner roles don’t grant that permission.
The Primary Owner uses Organization settings → Data and privacy → Export Data. The organization archive contains conversation and user data. It omits Word, Excel, PowerPoint, and PDF files Claude created. Messages, files, and projects deleted before the request are also excluded, including deletions caused by retention settings.
An Owner or Primary Owner can enable Allow members to export their own data in the same settings. Members can then export their own chats, without access to the organization archive.
Give your colleague the material they need for their assignment. Ask the Primary Owner to handle broader recordkeeping.
Keep a member archive and the actual deliverables
When member exports are enabled, use Settings → Privacy → Export data on the web or Claude Desktop. The emailed download link lasts 24 hours and requires sign-in. This member export covers your own chats and excludes uploaded-file contents.
If the button is missing, ask an Owner whether exports are enabled and permitted. Another copying method doesn’t override that decision. See the account-history export guide for the full procedure.
Collect source files from their approved location. Download finished Docs and decks separately with Claude’s native artifact controls. Choose an editable file for continuing work or a PDF for reading.
Give the next person the right project access
Team and Enterprise projects can be shared internally, unless an administrator has disabled sharing. The permissions allow different actions:
- Can view lets a colleague use the project’s knowledge and instructions and chat within it.
- Can edit also lets them change instructions, knowledge, and member settings.
Sharing a project doesn’t automatically share your personal chats within it. Decide separately which conversations belong in the handoff.
Shared chat snapshots are view only: recipients can’t continue the conversation. Team and Enterprise sharing stays inside the organization and can be disabled by administrators.
Invite your authorized colleague with appropriate permissions. Use the project-saving guide to identify instructions, knowledge files, conversations, and outputs that also need saved copies.
Save selected conversations as readable files
If your company permits the extension and export, DocMyChat saves one regular claude.ai chat or reply at a time in desktop Google Chrome. You need access to the account and conversation.
Choose the file format for the next task. Word suits a checklist your colleague will revise. Markdown suits text they’ll keep in a repository or notes folder. PDF suits a reading copy. Label a single answer as a selected reply so nobody mistakes it for the full discussion.
- Open the conversation approved for the handoff.
- Click Export beside Share.
- Choose Word, Markdown, or PDF.
- For PDF, choose Save as PDF in Chrome’s print dialog.
- Put the file in the approved location.
- Open it and check the final exchange and any decision your colleague must follow.
Word and Markdown download directly. The export icon beneath a Claude reply saves that answer alone. Use the whole conversation when corrections and rejected options explain the decision.
Published Claude Docs and decks appear in the transcript as titled links, without their contents. Include the separately exported deliverables. Markdown images are also links that require a signed-in claude.ai session, so save needed images separately.
The metadata date is the export date. Record the conversation date separately when it matters, and name the model only if known. The extension doesn’t export whole projects or Claude Code sessions, process account archives, or provide bulk exports or automatic sync.
Finish the handoff before access ends
Anthropic’s removed-user guidance says colleagues lose access to shared chat snapshots when their author is removed. Project access depends on its sharing permissions. A collection of chat URLs is therefore a fragile handoff.
Before the agreed cutoff:
- Give the authorized successor Can edit access to a private project they must maintain.
- Save the permitted conversations and deliverables in company storage.
- Add a short note identifying accepted decisions and unfinished work.
- Ask the successor to open the project and saved files from their own account.
An organization export can still include a removed user’s data, subject to retention and deletion. Coordinate the archive with the Primary Owner. Don’t assume a later request will recover missing work.
For ongoing projects, agree on who will follow the backup routine after significant changes.
Example: hand over a customer-onboarding project
Suppose you’re leaving a customer-onboarding assignment. The Claude project has two planning chats, a source spreadsheet, a finished checklist Doc, and a presentation. Your manager approves a company folder and names the colleague taking over.
Give that colleague appropriate project editing access. Save the planning exchange explaining why the team chose a 30-day pilot. Add the actual checklist document, presentation, and source spreadsheet to the folder. Their titles and links in a transcript don’t replace those files.
Write a brief handoff note: “The pilot length is approved. The launch date is still a proposal. Security review is outstanding.” Identify the saved conversation recording the decision and who should answer the open question.
List each deliverable’s filename, version, and location, plus the date you saved it and the colleague responsible for updating it. Keep unresolved questions visible.
Have the colleague open the checklist and find its final approval step, then locate the pilot decision in the saved transcript. This checks that they have usable content and enough context to continue.
If the package will go to a client, follow the client-deliverable workflow to prepare the reviewed document separately from the internal planning record.
Questions
How do I find our organization’s Primary Owner?
Anthropic’s roles guide says you can check under Settings → Account. Team and Enterprise organizations have one Primary Owner.
Why can’t a Primary Owner see Export data under Privacy?
Primary Owners don’t get the personal export button, even when member exports are enabled. Use Organization settings → Data and privacy for the organization export.
Can I request my member archive from the mobile app?
Claude’s data export isn’t available in the iOS or Android apps. Use Claude on the web or Claude Desktop. DocMyChat’s separate conversation export requires desktop Chrome.
Which version is saved after editing a prompt or retrying an answer?
DocMyChat follows the branch currently shown on screen. Open the exchange you need before exporting, and save other branches separately if they belong in the handoff.
